Zoom Events

Technical Requirements and Troubleshooting:

  • Every attendee must have a Zoom account (basic cost-free version is sufficient)
  • Attendees must be signed into the desktop client using the same account information used at registration
  • Must be on recent version of Zoom software
  • Every attendee receives a ticket - no links or passcodes

How to join the online conference:

  • Simply click on the link and then use the password provided to you by the conference team to join the conference.
  • If the conference has not yet started, you will be admitted to the waiting room and granted access to the conference once it starts.

Technical Requirements and Troubleshooting

  • Zoom Desktop Client
  • Make sure you have a high-speed internet connection
  • Ensure to enable microphone and speaker on your device
  • Ideally, use wired headphones, charged and tested Airpods or a professional headset
  • An external webcam might also be advisable

How to join the online conference

  • Click on the private ticket link you are sent by the conference team and register for the event. Please make sure to edit and complete your profile. To do this, click on your initials in the top right corner of the event window.
  • If the conference has not started yet, you will be directed to a preview page. As soon as the conference has opened (the conference will go live 10 minutes before the start of the official conference program), you will automatically be redirected to the reception page.      
  • Click on the Sessions icon on your left and choose the session you wish to attend. No further action is required; you will be able to listen to the presentation, and your name will be visible on the People tab of this session.

Technical Requirements and Troubleshooting

  • Make sure to join from a compatible browser. Hopin works best on Chrome (make sure it’s up to date). Other browsers may work as well but will have restrictions when sharing your screen.
  • Check your internet speed and network. We recommend a minimum of 5mbps download /2mbps upload (Ideally 30mbps download / 10mbps upload or higher for the best quality). You can test the speed of your network here: https://www.speedcheck.org.
  • If you are using a VPN or a device provided by your employer, please ensure your device can access and share your camera and microphone.
  • If you are using macOS, enable your screen recording feature in your Privacy Settings, and click on the box next to the browser you are using.
  • Ensure you can access the following website domains to use Hopin: *.hopin.to; *.tokbox.com;*.twilio.com; *mux.com; *.amazonaws.com. Your firewall may block access to the above-mentioned domains, so you might have to be granted access to these domains to use Hopin.
  • Restart your computer before joining the event. This ensures that there are no other video applications holding onto audio or video.
